Ask any coaching institute owner what eats the most front-desk time and fee follow-up is near the top. Someone has to check who has not paid, call or message each parent, remember who promised to pay "next week", and then match the payment that finally arrives on UPI to the right student.

Automatic reminders replace that routine with a schedule. This post explains how it works, what to configure, and how to stay polite while doing it.

The reminder schedule

Reminders work best when they start before the due date and continue at a steady, predictable pace after it. In Snelap AI the default schedule is:

  • Before the due date: 7, 4, 2 and 1 day before.
  • After the due date: a reminder every 4 days until the fee is paid.

Both are adjustable per institute. Some owners prefer fewer early reminders and a shorter gap once the fee is overdue; others want a gentler pace. Each reminder stage is sent only once per student per month, so parents are never sent the same message twice.

A reminder that only says "please pay" still forces the parent to find your UPI ID, type the amount and send a screenshot. A reminder with a payment link removes all of that.

  • The link is created for the exact amount due, for that student and that month.
  • Parents can pay by UPI, cards or net banking through Razorpay.
  • Money goes to your institute's own Razorpay account, not through a middleman.
  • When the payment completes, it is recorded against the student automatically and a PDF receipt is sent. No screenshot matching.

You can also set a late fee โ€” a percentage or a per-day amount โ€” so the rule is applied the same way for every family instead of being negotiated at the counter.

Three ways to use WhatsApp

Email reminders go out automatically. WhatsApp is optional and every institute chooses its own mode:

  1. Off โ€” the default. Nothing is sent on WhatsApp.
  2. Manual (free) โ€” each reminder is queued in your WhatsApp outbox with a ready-made click-to-send link. Your staff open it and press send from the institute's own WhatsApp. No setup, no per-message cost.
  3. Automatic (WhatsApp Cloud API) โ€” messages are sent automatically from your institute's own WhatsApp Business number. Meta bills your institute directly for these messages; Snelap AI adds no per-message charge.

Most institutes start with manual mode for a month, see how parents respond, and switch to automatic once they are comfortable. Read the full WhatsApp guide for institutes for every message type.

Control who gets what

Fee messages are only one category. You choose, separately, which kinds of messages go on WhatsApp โ€” fees, attendance alerts, exam results, timetable changes and more โ€” and to whom: parents, students, teachers, staff or leads.

Fee messages go to the parent's number captured at admission, or the student's registered mobile if no separate parent number was given.

Login codes and password links are never sent on WhatsApp. In manual mode they would sit in an outbox other staff can read, so they always go by email only.

Keeping reminders polite

  • Start early and soft. A reminder a week before the due date reads as a courtesy, not a demand.
  • Always include the exact amount and month. Vague reminders lead to calls asking "how much?".
  • Make paying one tap. The payment link does this.
  • Keep the overdue gap steady. Every few days is firm; every day feels like harassment.
  • Handle hardship cases personally. Pause automatic follow-up for a family that has spoken to you, and call them instead.

What changes for the institute

The front desk stops being a collections desk. The owner sees outstanding fees and defaulters on one screen instead of in a register, and parents get a receipt for every payment without asking.
