A hostel carries the institute's biggest responsibility: knowing where every student is. Paper registers at the gate and outing slips signed in the corridor make that hard โ especially at 9 pm when someone hasn't come back.
Set up the hostel the way it is built
Create hostels, then rooms and beds. Buildings and floors are optional, so a small hostel can be just Hostel โ Room โ Bed, while a large campus can use all five levels. Each bed has a status โ available, reserved, under maintenance โ separate from who is in it.
Allocation, transfer and check-out
- Allocate a student to an available bed. One student, one active bed; one bed, one student โ enforced by the system.
- Transfer a student to another room without losing their history.
- Check out at the end of the stay to free the bed.
Hostel attendance
Pick the hostel and date; everyone currently allocated is listed. Mark present, absent, leave, outdoor, late return or other. Opening the same date again edits the same sheet.
Outings and leave with a real approval chain
- The student or parent submits the request from the parent portal โ time out, expected return, destination, reason.
- Parent approval, if your institute requires it.
- Warden approves or rejects (rejection needs a reason).
- Admin approval, if required.
- At the gate, security marks the student out โ and back in on return.
Same-day outings and multi-day leave are kept separate. A student can't have two active requests, can't leave before approval and can't be marked returned before being marked out.
Who is outside right now?
The hostel dashboard shows occupancy, today's attendance, who is currently outside, who is on leave and โ most importantly โ overdue returns, using a grace period you set. The movement register keeps every check-in, check-out, transfer, outing and leave in one exportable timeline.
Roles that match the job
Wardens run day-to-day hostel work. Security staff get the narrowest possible access: they only mark approved outings in and out. See staff roles and permissions.
